South Africa VAT invoice requirements

South African VAT invoices are issued by registered vendors for taxable supplies and support input-tax deductions. SARS uses different document levels: a full invoice is required above R5,000; an abridged invoice may be used at R5,000 or less; and no tax invoice is required at R50 or less, though a till slip or docket showing VAT is needed for input-tax evidence. Invoices are generally due within 21 days. The current standard rate is 15%; zero-rated and exempt supplies differ. SARS is developing VAT modernisation, but current materials describe a future digital model and voluntary e-reporting rather than a general structured e-invoice mandate in force.

Invoice fields to review

Use this checklist to compare your draft with the local guidance. Applicability can depend on the parties, transaction, tax status, and document type.

  • For full and abridged invoices, use Tax Invoice, VAT Invoice, or Invoice; show supplier name, address, and VAT number; include an individual serial number and issue date; accurately describe goods/services; and show consideration and VAT treatment.
  • For a full invoice above R5,000, also show recipient name and address and, if a vendor, recipient VAT number; quantity or volume; and the value, tax charged, and total consideration, or a permitted inclusive presentation with VAT rate or amount.
  • For an abridged invoice at R5,000 or less, buyer details and quantity are generally not required. Supplier identity/VAT number, serial number/date, description, and consideration/tax details remain necessary.
  • At R50 or less, no tax invoice is required, but retain a till slip, docket, or equivalent showing VAT if input tax is claimed.

A tax invoice is generally due within 21 days from supply. The full and abridged thresholds apply to consideration, not an annual turnover test. Input-tax recovery depends on the correct supporting invoice or other evidence allowed by law.

Electronic invoicing

SARS allows e-invoicing subject to VAT and electronic-communications requirements; ordinary issue and retention rules still apply. Its 2026 materials describe a proposed digital model with structured exchange, e-reporting, accredited providers, consultation, and later phased pilots. Amendments enacted in 2026 enable rules for a voluntary e-reporting system, but the cited sources show no general structured e-invoice mandate or rollout date in force as of 4 October 2026. A PDF is an electronic document, not necessarily a structured eInvoice for a future or buyer-specific system.

Record retention

VAT records are generally kept for five years. SARS can require longer while an audit or investigation continues, a return is outstanding, or a dispute remains open. Electronic records must remain inspectable and in an authorized form/location unless SARS permits otherwise.

Important cautions

  • SARS’s 2026 rate information confirms 15%; a proposed 2025 increase was reversed. Check current SARS updates rather than using outdated templates.
  • Verify vendor registration and whether the supply is standard-rated, zero-rated, or exempt. Recheck SARS regulations before treating future VAT-modernisation proposals as effective.
